Portfolio Administrator (Posted on: February 25, 2010)

POSITION OBJECTIVE:

The Portfolio Administrator is responsible for interpretation and translation of lease data into the Accruent database system. This position is also responsible for managing day to day lease obligations and also provides support to Real Estate, RE Law, Real Estate Development, Construction, Finance, and Store Operations for the properties in the company portfolio.
 
FUNCTIONAL RESPONSIBILITIES:
  • Interprets lease language, abstracts leases and translates that information into SLIM (Strategic Lease Information Management), a database of all leases companywide. 
  • Calculates critical dates and determines financial information for each store including rents due and percentage rent schedules.
  • Checks abstracts for accuracy against the actual lease document.
  • Determines accurate payments for each store in the company with regard to base rent, percentage rent, and other charges associated with leases.
  • Receives and answers requests for information pertaining to store leases and clarification of lease clauses in person, over the telephone and via e-mail from the District Store Managers, Finance, Construction, Store Operations, Market Research and landlords.
  • Creates Crystal Reports based on SLIM data as needed.
  • Assists in creating store files and converts documents via OmniPage
  • Assists in auditing SLIM data.
  • Verifies store addresses and distributes store setup information to the Company.
  • Requests occupancy information from Shopping Centers, and verify whether or not lease requirements are being met.
  • Partner with RE Law to facilitate legal notices and correspondence related to lease administration.
  • Assist the Sr. Manager, Portfolio Administration in various tasks and special assignments.

QUALIFICATIONS:
  • Bachelor’s Degree or equivalent.
  • 3 years related experience in a national retail environment.
  • Lease interpretation and written/verbal communication skills.
  • Proficient in Microsoft Office applications and Crystal Reports.
  • Familiar with the Accruent suite of lease management software and Business Objects preferred.
  • Ability to multi-task, prioritize and be flexible.
  • Must be able to complete work with limited assistance and supervision
